• Rekisterinpitäjä: Laav Unit ry / HUG Oulu, hug@oulu.ug
• Käyttötarkoitus: Kutsuvastauksen tarkistaminen; yhteydenpito; saapuminen ja lähtö; artistien laitteet ja taltiointilupa; pysäköinti ja majoitus; osallistumisen tukeminen ja ruokahuolto; turvallisuus sekä rikkomusten ja vahinkojen selvittäminen.
• Oikeusperuste: Sopimus (GDPR 6 art. 1 b): yhteystiedot, rooli, saapuminen, pysäköinti, majoitus ja omat laitteet. Pakolliset kentät on merkitty tähdellä. Suostumus: artistin taltiointilupa (6 art. 1 a); terveys- ja allergiatiedot (9 art. 2 a). Oikeutettu etu (6 art. 1 f): turvallisuus sekä rikkomusten ja vahinkojen selvittäminen; välityspalvelimen yhteysloki (aika, IP-osoite, arvioitu sijainti) enintään seitsemän päivää. Elintärkeä etu (6 art. 1 d, 9 art. 2 c): hätätilanteessa hyvinvointitiimi antaa sinua auttavalle vain sen, mitä hoitosi vaatii.
• Vastaanottajat: Yhdistyksen hallituksen nimeämät henkilöt; nimetyt vastuuhenkilöt ja talkooväki vain tehtävänsä vaatimalta osin. Palvelimilla vastaukset ovat vain salattuina. Vuokratun välityspalvelimen tarjoaja näkee IP-osoitteen, ei vastauksia.
• Ohjelmistopilotti. Yhteystietojen avain on vain Laav Unit ry:n hallituksen nimeämillä henkilöillä. Terveys- ja allergiatiedot aukeavat vain, kun paikalla on kaksi nimetyistä henkilöistä. Paperit poltetaan purun päätteeksi. Avaimet ja vastaukset tuhotaan viimeistään 11.11.2026; sen jälkeen varmuuskopiotkaan eivät aukea. Poikkeus: artistin taltiointilupa säilyy tallenteiden mukana.
• Säilytysaika: Kaikki kopiot avaimineen hävitetään viimeistään 11.11.2026.
• Oikeutesi: Poistokoodilla poistat vastauksesi heti. Korjaat vastauksen tai perut terveys- tai allergiasuostumuksen poistamalla vastauksen ja vastaamalla uudelleen; peruutus ei vaikuta aiempaan käsittelyyn. • Purpose: Checking your reply; contact; arrival and departure; artists' gear and recording permission; parking and accommodation; support for taking part, and catering; safety and following up violations or harm.
• Lawful basis: Contract (GDPR Art. 6(1)(b)): contact details, role, arrival, parking, accommodation and own gear. Required fields are marked with an asterisk. Consent: an artist's recording permission (Art. 6(1)(a)); health and allergy information (Art. 9(2)(a)). Legitimate interest (Art. 6(1)(f)): safety, and following up violations or harm; the relay's connection log (time, IP address, estimated location) for at most seven days. Vital interests (Art. 6(1)(d), 9(2)(c)): in an emergency the well-being team gives whoever is helping you only what your care requires.
• Recipients: People named by the association's board; named leads and the crew only as far as their task requires. On the servers, answers are only in encrypted form. The provider of the rented relay server sees the IP address, not the answers.
• A software pilot. Only people named by the board of Laav Unit ry hold the key to contact details. Health and allergy information opens only when two of the named people are present. Papers are burned at the end of teardown. The keys and the answers are destroyed by 11 November 2026; after that, backups cannot be opened either. Exception: an artist's recording permission is kept with the recordings.
• Retention: Every copy, with its keys, is destroyed by 11 November 2026.
• Your rights: With the deletion code you remove your reply at once. To correct it or withdraw a health or allergy consent, delete the reply and reply again; withdrawal does not affect earlier processing. Lists already handed out are burned at the end of teardown.
